Carterton Gymnastic Club Constitution

 

1. The name of the club shall be Carterton Gymnastic Club; hereinafter called The Club.

a. The Club shall affiliate to British Gymnastics and Oxfordshire Amateur Gymnastics Association.

b. The Chief Coach of the club shall be Mrs Debra Coutenay-Crane BGA (WA HPC) Womens

Artistic High Performance Coach, and BGA class 5 Pre-school gymnastics.

c. The Chief Coach will be responsible for all gymnastic coaching decisions, this will include

selection of gymnasts into the club, competitive and squad gymnasts, coaches and training

programs.

d. The Chief Coach will also be responsible for maintaining discipline and safety during the

sessions.

e. The Club shall adopt the BG Child Protection Policy and BG Health, Safety and Welfare Policy.

f. The Club shall adhere to screening guidelines with regard to coaches.

2. Aims and Objectives

The aims and objectives of the club will be:

a. To advance, develop and safeguard the interests of the sport of gymnastics, which shall include

Women's Artistic Gymnastics and Recreational Gymnastics

b. To promote the club within the local community.

c. To manage the sessions at Carterton Community College Gymnasium.

d. To ensure a duty of care to all members of the club.

e. To provide all its services in a way that is fair to everyone.

f. To ensure that all current and future members receive fair and equal treatment.

3. Membership

a. Membership should consist of officers and members of the club. All members will be subject to

the regulations of the constitution and by joining the club will be deemed to accept the regulations and codes of conduct that the club has adopted.

b. Club membership will be to those gymnasts who have been offered a place from the waiting list,

and granted on subscription of termly fees.

c. Members will be enrolled with British Gymnastics in one of the following categories:

(i) Full member

(ii) Associate member

4. Membership Fees

Membership fees will be reviewed regularly and agreed by the Committee. Fees will be paid

on a term by term basis in advance and once paid are non-refundable.

5. Officers of the Club

a. The officers of the club will be:

Chair

Minutes Secretary

Administration Secretary

Treasurer

Welfare officer

Deputy Welfare Officer

Publicity Officer

Clothing co-ordinator

Grants /equipment officer

Fund raising team

Website Co-ordinator

b. Officers will be elected annually at the Annual General Meeting. All officers retire each year but

will be eligible for re-appointment.

c. All posts within the committee and coaches are on an unpaid basis, they claim expenses for bills

incurred on Club business.

6. Committee

a. The club will be managed through the Committee consisting of the officers listed in point 5

above, only these posts will have the right to vote at meetings of the Committee.

b. The Committee will be convened by the Secretary of the club and hold no less than 10

meetings per year.

c. The quorum required for business to be agreed at Committee meetings will be 4.

d. The Committee will be responsible for adopting new policies, codes of conduct and rules

that affect the organisation of the club.

e. The Committee will have powers to appoint sub-committees as necessary and appoint

advisers to the Committee as necessary to fulfil its business.

f. The Committee will be responsible for disciplinary hearings of members who infringe the club

rules / regulations / constitution. The Committee will be responsible for taking any action of

suspension or discipline following such hearings.

7. Finance

a.  All club monies will be banked in an account held in the name of the club. The Club Treasurer

will be responsible for the finances of the club. The financial year of the club will end on

August 31st

b. An audited statement of annual accounts will be presented by the Treasurer at the Annual

General Meeting.

c. Any cheques drawn against club funds should hold the signatures of the Treasurer plus one

other officers.

8. Annual General Meetings

a. Notice of the Annual General Meeting (AGM) will be given by the Club Secretary. Not less

than 21 clear days notice to be given to all members.

b. The business to be conducted at the AGM shall be:

Receive apologies for absence

Minutes of the previous AGM

Matters arsising from the previous AGM

Receive and approve a report from the Chairperson

Receive the statement of audited accounts for the preceding year

Election of officers

Any other business

The date of the next AGM will be set.

c. The minutes secretary should receive nominations for elections not less than 7 days before the

AGM. Officers shall be elected by simple majority vote.

d. All members have the right to vote at the AGM.

e. The Committee has the right to call Extraordinary General Meetings (EGMs) outside the AGM.

Procedures for EGMs will be the same as for the AGM.

9. Discipline and Appeals

a. All complaints regarding the behaviour of members should be submitted in writing to the

Welfare Officer.

b. The Committee will meet to hear complaints within 30 days of a complaint being lodged. The

Committee has the power to take appropriate disciplinary action including the termination of

membership.

c. The outcome of a disciplinary hearing should be notified in writing to the person who lodged the

complaint and the member against whom the complaint was made within 7 days of the hearing.

10. Dissolution

a. A resolution to dissolve the club can only be passed at an AGM or EGM through a majority vote

of the membership.

b. In the event of dissolution, the committee will decide on a worthwhile club(s) or association(s) to

which all or part of The Club equipment and assets should be donated after all debts have been

cleared.

11. Amendments to the Constitution

The constitution will only be changed through agreement by majority vote at an AGM or EGM.

12. Declaration

Carterton Gymnastic Club hereby adopts and accepts this constitution as a current operating guide regulating the actions of members.
